Introduction

Purposes

SucceedR is a web application streamlining the connection between recruitment consultants, clients, and candidates.

  • Consultants leverage the platform to screen, assess, and match candidates with suitable clients.

  • Candidates utilize SucceedR to assess their skills through an assessment center and manage their interview process.

  • Clients have the ability to view candidate information that has been validated and submitted by consultants. They can then initiate their interview process directly through the platform if they choose to proceed with a particular candidate.

This project aims to optimize the platform's design for all users, ensuring an efficient interaction experience.

It's important to emphasize that SucceedR is not an internal candidate management system for the company itself. Instead, it serves as a test portal where candidate data is collected (with consent), consultants can expand their recruitment pipelines, and clients can recruit the most suitable candidates.

Challenges

While my extensive experience in recruitment outsourcing made designing this project relatively straightforward, I was careful to avoid biases and assumptions. Instead, I focused on creating a platform tailored specifically to SucceedR's unique processes and requirements.

My background includes experience in both talent acquisition (internal recruitment) and recruitment consulting (external recruitment).

Discover

Elicitation

Given that this is an outsourcing project, the client had already established the target audience for their business. However, I took the initiative to document this information to gain a better understanding of the various user roles within the platform. There are three users, this case study only focused on two:

///01

Candidates seeking to evaluate their skills and expertise in preparation for job applications.

Candidates are from around the world who are actively seeking an assessment platform to test their skillsets, encompassing both job-related and non-job-related competencies.

///02

Recruitment consultants seeking to expand their recruitment pipelines and enhance their candidate management capabilities.

These are SucceedR's internal consultants who manage multiple clients and require a larger pool of candidate profiles to present to them.

My task as a designer was to identify secondary, and tertiary tasks that are related to these primary tasks to design a comprehensive product. To identify those tasks, I find inspiration on Mobbin, looking through best practices from Deel to Employment Hero.

For example: With the primary task 'As a consultant, I can recommend candidates to clients to view them,' there were more underlying tasks:

  1. As a consultant, I can view, search, and filter all candidates with limited data.

  2. As a consultant, I can add/invite candidates to the system.

  3. As a consultant, I can deactivate/reactivate candidates.

  4. As a consultant, I can Favorite a candidate to view them later on.

These tasks then on be validated by the clients to avoid any biases I've made.

Define

Platform Flows

Before beginning the design phase, I outlined the relationships between users with the platform flows who use the platform. With human resources consultancy, many internal operations are interconnected; this relationship also makes its way to the platform. From scheduling interviews to receiving notifications for those interviews, the platform, while different from users, remains connected to the data within it.

My prior experience in both internal and external recruitment proves particularly valuable in this scenario, as it involves outlining recruitment processes, an area I am intimately familiar with.

To visualize the platform's structure, I designed a platform sitemap. This involved grouping user tasks into relevant categories. For example, all tasks related to interviews were placed under Interviews. The following represents the finalized version:

User Flows

I designed user flows to establish a shared understanding with both the developers and clients regarding the design direction. We underwent several iterations to ensure that the flows accurately reflected both the clients' expectations and the users' needs.

The most complex flows involved interview acception scenarios, as these processes necessitate interactions between all three user groups (candidates, consultants, and clients).

Features

Assessment Center

My primary challenge for this feature was crafting a suitable layout for assessment creation (admin) and the test portal (candidates). The goals were:

  • to ensure the admin clearly understand the test creation sequence,

  • and candidates easily identify the starting point and the status of each test (locked/unlocked).

For the admin, I created a screen layout that reflects the candidates experience. The published assessments section is located at the top, featuring 6 placeholders for the 6 stages of the process. Admin can create assessments as drafts and then drag them into any placeholder to arrange them in the desired order.

For candidates, the initial task upon entering the platform is to complete an assessment. To ensure visibility and easy tracking, I prioritized the placement of assessments directly on their dashboard. This allows candidates to conveniently monitor the status of their assessments at a glance.

To guarantee completion of the assessment, I've implemented a feature lock, restricting access to other platform features and directly guiding candidates to the assessment portal. This ensures that all candidates prioritize and finish the assessment before exploring other parts of the platform.

Candidates Management

While Candidate Management may not be a groundbreaking feature, it serves as the core function of the platform. Clients, consultants, and admin can CRUD candidate profiles, exchange vital information, schedule interviews, and ultimately extend offers.

I had a great time designing this aspect of the project, as it gave me the opportunity to explore different layouts.

A playful design concept I proposed, which was enthusiastically embraced by our clients, was a layout that draws inspiration from Tinder. Of course, we couldn't fully replicate the native mobile interactions on a desktop environment but this layout significantly improves workflow.

Clients can effortlessly navigate between the 'Pass' and 'Reject' buttons, enabling them to swiftly review a large pool of candidates. To further streamline this process, we've incorporated convenient shortcuts -> simply click left or right to move between candidate profiles.
